PA to Director/Administration Assistant
Personal Assistant | Administrator | Superannuation
📍 Location: Hawthorn | 🕒 Permanent Full-time

We are seeking a detail-oriented and proactive Personal Assistant / Administration Assistant with an accounting or superannuation services background to join this professional services firm. This role supports the Director, while also assisting the wider administration team to ensure their accounting, SMSF, and corporate compliance processes run smoothly.

About the Role
In this varied and fast-paced role, you will be responsible for providing high-level executive support to the Director, managing key compliance deadlines, and performing administrative functions across our accounting and superannuation services. You’ll also liaise with clients, accountants, and regulatory bodies to ensure accuracy and efficiency in all tasks.

Key Responsibilities
PA to the Director

  • Manage incoming mail, including superannuation notices, and handle debt-related phone calls.

  • Screen and manage all ATO calls related to the Director’s clients.

  • Process SMSF deed updates using Cleardocs.

  • Coordinate lodgement deadlines (including the 15 May and 25 June dates) and send payment slips and distribution minutes to clients.

  • Manage billing for the Director’s clients.

  • Provide ad-hoc administrative support as needed.

Administration & Compliance Support

  • Oversee DocuSign activity and manage pending actions.

  • Manage AFSL compliance for Kennedy King.

  • Maintain APS database, including new client onboarding and exiting client offboarding.

  • Prepare ethical letters for accountants for incoming and departing clients.

  • Review documentation packages and manage deed updates.

  • Approve and manage all ATO lodgements, including late lodgements.

  • Manage the CAS360 platform for corporate compliance.

  • Ensure all ASIC requirements are met, including annual company statements.

  • Prepare and lodge company changes with ASIC in a timely manner.

  • Follow up with clients for required ASIC documents.

  • Establish companies and trusts using Cleardocs or Maddocks.

  • Liaise with ASIC as required.

Key Requirements

  • Previous experience in Superannuation sector as a PA or accountant in the Accounting Public Practice is essential.

  • Strong understanding of compliance requirements for ATO, ASIC, SMSFs, and company structures.

  • Proficient with CAS360

  • A strong understanding of BGL Simple Fund 360

  • Strong communication skills, both written and verbal

  • Excellent organisational skills with the ability to manage multiple priorities.

  • High attention to detail and accuracy in all work.

  • Proficient in systems such as APS, Xero, Virtual Cabinent, DocuSign, and Cleardocs (or similar)

  • Must have full Work Rights and willing to undergo an Australian Police Check
