Job Title: Loan Set Coordinator
Location: Notting Hill, VIC
Employment Type: Temp-to-Perm
Start Date: Early September (negotiable depending on notice period)
Pay Rate: $34/hour (temp) | $70,000–$75,000 + Super (perm)
About the Role We are currently seeking a dynamic, proactive, and detail-oriented Loan Set Coordinator to join a fast-paced and growing medical device business in Notting Hill, Melbourne. This is not your typical loan set role — you’ll be at the centre of a high-volume, fast-moving operation where flexibility, initiative, and ownership are essential. Key Responsibilities
  • Coordinate the preparation, dispatch, and return of surgical loan kits for multiple hospitals.
  • Manage logistics for loan kits, including physical handling (up to 10 kg), planning ahead, and thinking strategically about stock movements.
  • Liaise with internal stakeholders, hospitals, and couriers to ensure timely and accurate deliveries.
  • Work both independently and collaboratively within a small, close-knit team.
  • Use an ERP system to manage stock movement, inventory tracking, and kit documentation.
  • Operate across multiple touchpoints: warehouse, phone, computer, and physical stock – often all in the same hour.
  • Prioritise and respond to urgent and changing demands effectively.
  • Take initiative to improve efficiency and manage your day around job demands.
About You The ideal candidate is not necessarily from a traditional loan set background. You may have experience in:
  • Healthcare logistics, pathology dispatch, or laboratory sample distribution.
  • Small business environments where you’ve worn multiple hats (dispatch, inventory, phone support).
  • Fast-paced, hands-on roles requiring multitasking, quick thinking, and attention to detail.
You’ll also bring:
  • A high level of independence, problem-solving ability, and ownership.
  • The ability to thrive in a dynamic and sometimes ambiguous environment.
  • Excellent attention to detail, especially under pressure.
  • Strong communication skills, both written and verbal.
  • A willingness to “get stuck in” and adapt your day to the needs of the role.

Working Hours
  • Monday to Friday, generally 9 am–5 pm.
  • Flexibility required – you must be available to stay back if needed (no second jobs).

Requirements
  • Previous experience in logistics, loan kits, healthcare dispatch, warehousing, or similar.
  • Physical capacity to handle kits up to 10 kg.
  • Strong organisational skills and ability to prioritise tasks.
  • Tech-savvy, with exposure to ERP systems (e.g., JD Edwards) a bonus.
  • Must be eligible to work in Australia and pass background checks if required.
