Key Responsibilities Transport Administration & Workflow Oversight
- Supervise daily transport administration activities across assigned teams or locations
- Ensure run sheets, PODs, driver paperwork and system entries are accurate and completed on time
- Monitor workloads, deadlines and service levels
- Process daily subcontractor run sheets across multiple states
- Enter driver times, accessorials and additional charges into the Freight Management System (FMS)
- Validate driver documentation including fatigue compliance and missing information
- Prepare and issue accurate client invoices (dummy and live runs)
- Process credits, adjustments and corrections
- Respond to client billing and driver pay queries professionally and promptly
- Complete pallet reconciliations and customer-specific reporting
- Reconcile bank data against the FMS
- Investigate and resolve discrepancies between banking data, run sheets and system entries
- Escalate unresolved variances where required
- Ensure reconciled data supports accurate invoicing and subcontractor payments
- Maintain strong data integrity across systems
- Support system upgrades, testing and process improvements
- Maintain Excel reports, reconciliations and dashboards
- Identify recurring issues and recommend workflow improvements
- Ensure accurate setup and maintenance of customer and subcontractor records in the FMS
- Support onboarding and administration of subcontractor drivers
- Provide daily coaching and support to administration staff
- Assist with onboarding and training of new team members
- Promote accountability and consistent standards
- Ensure compliance documentation is collected and audit-ready
- Escalate risks or non-conformances appropriately
Skills & Experience:
- Experience in transport or logistics administration
- Strong attention to detail and time management skills
- Confident using Excel and freight management systems
- Clear communicator with a strong customer service focus
- Experience supervising, mentoring or supporting team members
- Stable full-time role within a growing national transport business
