Job Description
Key Responsibilities Leadership & Governance
Essential Experience & Skills:
- Lead and develop national transport administration teams
- Establish and maintain standard operating procedures and best-practice frameworks
- Drive accountability, performance and continuous improvement
- Coach and develop supervisors and high-potential team members
- Oversee national run sheet processing, driver times, POD management and invoicing accuracy
- Manage invoice processing cycles (dummy and live runs)
- Own reconciliation processes between banking and Freight Management Systems
- Analyse variances and implement corrective actions
- Prevent revenue leakage and billing errors
- Act as escalation point for complex billing and margin issues
- Partner with Finance to support collections and dispute resolution
- Define and standardise KPIs, reporting and dashboards
- Ensure FMS data integrity for billing and operational accuracy
- Lead automation initiatives and system improvements
- Reduce manual processes through workflow optimisation
- Oversee customer and subcontractor driver setup
- Ensure accurate pricing, charge rules and service configuration
- Align system setup with operational service delivery
- Review customer and subcontractor rates to protect margins
- Identify and address revenue leakage
- Provide commercial insights to senior leadership
- Support pricing reviews and contract renewals
- Align administration and operations workflows
- Support compliance obligations including COR and fatigue requirements
- Ensure documentation is maintained and audit-ready
- Escalate non-conformances and risk matters appropriately
- Manage key system and service suppliers
- Lead supplier reviews and cost negotiations
- Benchmark and recommend alternative solutions where required
- Conduct credit assessments and ongoing monitoring of customers
- Identify payment risks, insolvency alerts and adverse credit events
- Partner with Finance on credit exposure and recovery strategies
- Provide reporting to support credit decision-making
Essential Experience & Skills:
- 5+ years’ senior experience in transport or logistics administration
- Strong Freight Management System (FMS) experience
- Proven leadership across multi-site or national teams
- Strong financial acumen and reconciliation expertise
- Experience improving processes and implementing automation
- Excellent stakeholder engagement and communication skills
- Commercially driven and outcomes-focused
- Highly process-oriented with strong attention to detail
